Hello to everyone in Edelweiss District,
If you have not already heard about our District Roundtable then you'll be pleased to know that your Disrict Key 3 have been working to bring more communication to you the volunteers in the district!
Our current plan is to offer a monthly GoToMeeting based gathering of district scouters on every third Wednesday of the month. It is difficult to pick an evening that does not conflict with someone's schedule. With that in mind, if your unit has a committee meeting or troop meeting etc. that conflicts with the present schedule for our District roundtable, this would be an excellent opportunity to enlist the help of a family member in your unit that currently does not have an active role elsewhere. Many parents on the sidelines of scouting just need to be asked for a specific job and when reasonable, they usually say "yes".
Our first effort on this new endeavor was last night. Headed by Chris Knutson our district chair, we began an hour long open discussion that produced a fantastic list of ideas for future Roundtable topics. Kathy Foote, the Stuttgart Roundtable Commissioner, has graciously accepted the role as our interim District Roundtable Commissioner. She handled the bulk of our roundtable last night and helped produce a working plan for a year's worth of Roundtable discussions! We had a turnout well enough to make it a worthwhile discussion. Our main focus was explaining the concept of roundtable and getting input about what scouters would look for and want from our roundtable.
So, if no one from your unit was a part of the meeting then ask around in your unit for next month!
We will be offering a poll to see what night will work best for everyone involved, watch for that on the Edelweiss facebook page!

My name is Rodney Henk and I am our district's newly appointed District Executive. I have been a volunteer with Pack 240 on Rose Barracks for the past 4 years. I am thrilled to be joining the council as a scouting professional and look forward to 'doing my best' to help our district scouters bring the various scouting programs to the youth in our district.
I am not a fan of excuses, however I may need to play my new guy card a few times as I adjust to my new position. With that being said, do not be discouraged to contact me with your scouting issues.

Your units should be ready to hit submit to your online recharter! The Edelweiss District deadline for units rechartering in 31DEC15 is 15NOV15.
We hope to have all unit Recharter codes out to your units early October and hold Recharter Training shortly after the codes open. It is essential that your Registrar/Membership Chair keep the unit roster updated by submitting all membership applications as they come in. Please do not hold applications until recharter, that will only make more work as your volunteer will have to add each new member not in the unit roster into the system themselves.

Please ensure you are using the checklist provided in the recharter page. It will verify your unit submits all documents required to complete the process.
Please ensure that all applications are completed correctly (to include all unit and COR signatures and adult disclosure page 2) as well as YPT certificates for all the adults added to the new Charter as well as any updates to Youth Protection Training for those leader's with expired YPT's . If your Adults are non US Citizens they must provide a Local Background check! Once that is complete and turned in the Exemption to SSN policy will be approved for the individuals and they will be allowed to register!
A NOTE on RECHARTER PAYMENTS:
Once I receive your recharter documents I will generate a Pay Pal invoice with the Recharter Fee amounts owed to complete the recharter. You can pay via the link or you can pay with other options listed below. We would prefer you revert payment to Pay Pal invoice.
A unit can deposit funds via bank wire or actual bank deposit to our Bank of America bank accounts (banking info is provided in link below). If a unit deposits straight into account PLEASE ensure you note what the funds are for in the deposit slip and follow up with an email showing deposit slip and bank transaction receipt! This step will help us track the transaction and assign the funds to the correct account. Should you choose to pay via secure pay/ kintera your unit will be charged the 5% processing fee for this payment method!
If you require training or assistance please let me know ASAP. Your Commissioner team is also a great resource. I would like to pick up your hard-copies as you complete the process. However, please SCAN to file and UPLOAD all Recharter Unit files into our SHARE FILE Folder I need to do a quality control (QC) before it is uploaded to the Process folder.
I am an email or phone call away! Please do not leave this for the last minute, as the process can be tedious if you require info from volunteers and final signatures are sometimes hard to track. We want to ensure everyone is rechartered in a timely manner to avoid being dropped!

For us that means the end of Summer Camp Adventures and the start of the Back to School Roundups and Recruitment Drives. We welcome our Edelweiss District Recruitment Chair Michelle Clark! Thank you for taking on this challenge! Membership growth is always a primary concern at our District given the many rotations, PCS, and ETS of our many volunteer and families across our District. She will be contacting units and asking about the Back to School recruitment plans and events for all our Units! Units are encouraged to find a Membership Chair to help with the Registration of new Members and the ever so crucial Recharter process. The earlier you identify that volunteer the more time we will have to train them and answer their questions.

It is imperative that you sign up for events and training as soon as you know you will be participating! This will prevent us from unnecessarily cancelling events and training's due to poor sign up. Our Volunteers contribute their TIME and TALENTS, let be mindful and respect their time commitments. SIGN UP so that they have an accurate picture of how many they need to prepare for during training, Cub Day Camps, Camporees, etc...

Dear Committee Chairs, Cub Masters, Scout Masters, Advisors, Membership Chairs, Registrars, Finance Chairs/Treasurers, and Scouters:
Many of you might already heard that we are transitioning (moving) our office's to Belgium. In order to ensure that we can continue to provide great customer service and timely registrations, we are now implementing new Registration procedures. We hope that this will also result in up to date unit rosters which will benefit the unit as well as the Council. All of TAC units will be rechartering at the same time in this year. If we keep all new registrations coming in and being processed as soon as possible we will then have a clean roster come recharter time. Your Registrar would have an easier job with the Online portion of recharter.
I will process all your applications! Your DE is now your primary point of contact (POC) for registrations. PLEASE SEND ALL APPLICATIONS TO: firstname.lastname@example.org

This new method will require that the unit ensure that the applications are completed correctly (no space is optional other than ethnicity). All signatures must be there. I will provide the Council signature. Adult applications require Page 1 (application see left image below), page 2 (CBC see right image below), and Youth Protection Certificates.
Please help me minimize the DEFECTIVE applications! Please establish a quality control over your forms. Adult applications require 3 signature in addition to the applicants. As each leader sign they could look at the overall application and note any deficiencies. If you have any questions on how to fill an application we have a video on our district webpage tabbed JOIN US! that might be of help to you, parents, and adult leaders. Check it out! The new application has a different format, than the one on the video, but for the most part it requires the same information from the applicant.
If an applicant does not have a Social Security Number (SSN) it must be noted in the application. This will generate another form to request Exemption.
Venture Crews please remember that any of your YOUTH member who are 18 years old will have to fill our an ADULT application, even though they will continue to be a youth in Venturing until the age of 21. They will also have to submit the Youth Protection Training for Venturing.

Every great team works a playbook and every great playbook has a game plan, resources and step-by-step directions for effective execution. Join Deputy Chief Scout Executive, Gary Butler, and Central Regional Director, Al Lambert, for an exciting and interactive web-cast where they will lead the discussion of the importance of having a recruitment playbook. They will also introduce us to the concept behind the Build the Adventure-Cub ScoutRecruitment Initiative and provide an overview showcasing specific tools and resources that are under development.
In addition, there will be special presentations from local council guests who have had great success in Cub Scout recruiting. They will share "how they did it" using concepts, tools, and practices being developed for nationwide availability and use. One council presentation will highlight how they increased their Cub Scout membership by more than 18%, and another will discuss their rocket themed recruitment and joining campaign launching their way to significant growth and satisfied youth and parents.
